Absolute Color Wheel LLC ("ACW", "we") runs the Absolute Color Wheel service: a telephone color line and website that agencies use to run drug and alcohol testing programs. This policy explains what information we keep, why, and who sees it.
What we keep
- Agency staff logins: name, email address, role, sign-in times and devices. Passwords are stored only in a form that cannot be read back.
- Client records, entered by the client's agency: the agency's ID for the client, name, date of birth, contact number, testing calendar and color, and check-ins at the testing site. These details are kept encrypted.
- Calls to the color line: the time of the call and only the last 4 digits of the caller's number.
- Texts: the number a text was sent to, what it said, when, whether it was delivered, and each agreement to texts or reply of STOP, START or HELP.
- Demo requests from our website: the name, organization, work email and service a visitor enters, used only to reply to them.
- Payments: handled by Stripe. We never see or keep card or bank account numbers.
Why we use it
Only to run the service: answering the color line, sending the testing texts a client agreed to, check-ins and reports for the client's agency, billing, keeping the service secure, and answering questions.
Who sees it
A client's details are seen only by the staff of that client's agency who are allowed to, and by ACW to support the service. Every look at and change to a client record is logged with who and when.
We use service providers to run the service: hosting (DigitalOcean), telephone (3CX), texts (Twilio), email (Resend) and payments (Stripe). They receive only what they need to do that work.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We do not sell personal information. We share information only as described here or when the law requires it.
Texts
Clients get texts only after agreeing to them with their agency. Reply STOP to any text to stop them; reply HELP for help. See Terms and Testing texts.
Keeping it safe
The website uses HTTPS, two-step sign-in and logged access. Data is backed up daily.
Questions and changes to your record
Clients: ask your agency, which keeps your record. Anyone may also contact us at admin@absolutecolorwheel.com.
